Turning Client Cancellations into Opportunities: Pro Tips and Insights from Mrs White

Of course, occasional client cancellations are part of life. We’re all human, and sometimes things come up—an unexpected illness, a family emergency. But what happens when one client keeps cancelling again… and again… and again? Without a valid reason? That’s when things start to unravel.

Let’s dive into the story of Mrs White, a coach who faced this very issue—and how she solved it in style.

The Cancellation Problem: A Case Study

Meet Mrs White (not her real name, of course). She’s a dedicated coach who runs individual programmes designed to help clients reach their goals. Each programme typically spans three months, featuring:

  • A two-hour kick-off session
  • Eight one-hour follow-ups

Sounds simple enough, right? Well, not if client cancellations get in the way.

  • Two clients cancelled three sessions each.
  • One client cancelled five sessions, dragging a three-month programme out to nearly a year—and he still had four sessions left!

2. Programme Timelines

Mrs White also struggled with clients dragging programmes out far beyond their intended timelines. To fix this, we added a clause stating that programmes must be completed within six months—unless otherwise agreed.

 

Why it worked:

It set clear boundaries. Clients knew what to expect, and Mrs White could maintain a structure that benefited both parties.

 

3. Commitment Clause

Finally, we addressed the elephant in the room: commitment. What if a client kept cancelling, showing no real interest in the programme?

We added a clause allowing Mrs White to suspend or end the programme without a refund if client cancellations became excessive.

This empowered Mrs White to focus her energy on clients who valued her time and expertise, without being out of pocket for no-shows.
